Privacy Policy
This notice explains how QEI.si handles personal data when you use the public website or contact QEI through the contact form.
Last updated: 1 October 20261. Who is responsible for the website
QEI is currently a research initiative. For the public QEI.si website, privacy requests and website-related data-protection matters are handled by the QEI.si website administrator through the contact form. If a separate legal entity becomes the formal operator, this notice will be updated accordingly.
2. Data we process
When you send a contact form, we process the name, email address, selected topic and message that you provide. Technical server logs may contain information such as IP address, browser details, requested pages and timestamps for security and operational purposes.
3. Why we process it
Contact-form data is used to respond to your enquiry, manage institutional or research correspondence, provide Secure QEI support where relevant, and handle privacy requests. Technical logs are used to maintain security, availability and integrity of the website.
4. Legal basis
Depending on the enquiry, processing may be necessary to take steps at your request, to pursue the legitimate interest of operating and securing the website and responding to correspondence, or to comply with a legal obligation. Where consent is required for a specific processing activity, it will be requested separately.
5. Retention
Contact correspondence is retained only for as long as reasonably necessary to answer and manage the matter and, where applicable, to meet legal or documentation requirements. Security logs are retained according to operational and security needs.
6. Recipients and service providers
Website hosting, email delivery and technical service providers may process limited data on behalf of the website operator where this is necessary to provide the service. QEI.si does not sell personal data.
7. External resources
The website may load external technical resources such as web fonts. Opening links to Institute 1 April, Secure QEI or other external sources takes you to a separate service with its own privacy practices.
8. Your rights
Subject to the GDPR and applicable Slovenian law, you may request access, correction, deletion, restriction, objection or data portability where those rights apply. You may also lodge a complaint with the Information Commissioner of the Republic of Slovenia.
9. Automated decisions
The public QEI.si website does not use the contact-form data for automated decision-making or profiling.
10. Contact
For privacy questions or requests, use the QEI contact form and select “Privacy and data protection”.
